PA/Assistant to Bid Team

Job description

Key responsibilities:

  • Diary management, for activities associated with the Bid team, and related pre-sales activities.
  • Coordination of activities with input from the Bid Manager and Head of Bid Team
  • Extensive and efficient in email correspondence, including responding to email in a timely fashion, and ensuring the quality and completeness of replies.
  • Assisting in the creation of electronic documents, including contracts, client packs and documents, including formatting, proof reading, appropriate distribution and electronic filing (Sharepoint / Dynamics 365)
  • Organising [mainly] online meetings, taking basic minutes and managing Bromcom actions
  • Preparing for and helping coordinate the assignment of bid team successes (i.e. new contract awards) to our customer services onboarding team.
  • Helping manage and maintain the Bid Team’s records [mainly using Sharepoint, Dynamics 365 and Excel]
  • Handling confidential matters with discretion
  • Occasional ad-hoc tasks for the Bid Team, including management of miscellaneous issues


  • Head of Office or home working considered

Job requirements

Essential requirements:

  • Educated to A-Level standard or equivalent.
  • Exceptional standard of written and verbal English
  • Proven proof-reading skills
  • Proven diary management skills
  • Competent with Microsoft Office suite
  • Knowledge of UK education system
  • Demonstrable experience in a similar role
  • Flexibility on hours

Desirable requirements:

One or more of the following would be an advantage

  • Knowledge of information management software services used in UK schools
  • Project management skills
  • Customer relationship skills
  • Experience as a technical author
  • Expert in Microsoft Office suite
