Overview of the Role

The Documentation Specialist is a critical support role operating across Product, Training and Documentation. The role owns the complete documentation lifecycle for allocated products, new product developments and enhancements - from identifying upcoming work and producing release notes to creating, publishing and maintaining customer-facing guidance.

Working closely with Product streams, the Documentation and Training team, as well as other teams, the Documentation Specialist ensures that content is accurate, timely, consistent, easy to use and aligned with branding and guide-writing standards. The role actively uses AI to support efficient content creation, quality assurance and continuous improvement, while applying appropriate human review and judgement. It helps prevent release-note delays and documentation backlogs, strengthens quality control, improves response times and provides additional capacity during peak periods.

Key Responsibilities

  • Take end-to-end ownership of documentation for allocated products and features, from identifying upcoming work in DevOps through to publication and ongoing maintenance.

  • Gather and clarify product information, anticipate documentation needs and plan work in line with sprint and release priorities.

  • Write clear, accurate and accessible sprint release notes, product communications, user guides and Help Centre content.

  • Maintain published guidance, including screenshots, wording and supporting content, so it remains current, complete and easy to use.

  • Work with Product Owners, Product teams and the Documentation and Training team to validate technical accuracy, secure approval and keep content aligned without gaps or duplication.

  • Manage documentation through the appropriate systems and publishing platforms, including DevOps, Beamer, WordPress and Dynamics 365.

  • Review and improve content for quality, consistency, usability, branding and compliance with agreed guide-writing standards.

  • Respond to internal requests and use Help Desk feedback, recurring customer queries and periodic reviews to identify and prioritise new or improved guidance.

  • Support the creation of training documentation and take-away materials, such as post-training handouts or session manuals, where required.

  • Use AI tools confidently and responsibly to accelerate research, drafting, editing, summarisation and quality assurance, while validating outputs for accuracy, tone, security and compliance; provide clear visibility of progress, risks, dependencies and potential delays.

  • Work independently within allocated sprint priorities, taking initiative to obtain the information and approvals needed to complete each assignment.

  • Deliver accurate, complete and quality-assured documentation to sprint and release deadlines, raising risks or missing information early.

  • Build effective working relationships across Product, Training, Documentation and other teams, and remain informed about relevant product and workflow changes.

  • Manage allocated products proactively across their lifecycle, balancing planned work with urgent changes, ad hoc requests and peak workloads.

  • Proactively identify, test and share practical ways to use AI to improve documentation quality, consistency, accessibility and efficiency, while maintaining human oversight and following agreed governance.

Required Skills and Attributes

  • Excellent written English, proofreading and editing skills, with close attention to accuracy, detail and consistency.

  • Ability to turn technical or complex product information into clear, concise and customer-friendly guidance.

  • Good knowledge of Bromcom products and workflows, or the ability to build detailed product knowledge quickly.

  • Experience producing technical documentation, release notes, user guides, Help Centre content or training materials.

  • Strong communication, collaboration and relationship-building skills, with the confidence to clarify requirements, challenge ambiguity and obtain sign-off from subject-matter experts and Product Owners.

  • Strong organisation, prioritisation and judgement, with the initiative to work independently across sprint deadlines, planned reviews and ad hoc requests while contributing positively to the wider team.

  • A user-focused mindset and an understanding of how structure, language and screenshots affect the usability of guidance.

  • Confidence using Microsoft Word and Excel and the ability to learn DevOps, Beamer, WordPress and Dynamics 365, together with practical experience or a strong willingness to use AI tools for prompting, drafting, analysis and quality checks. Applies curiosity, critical judgement and responsible handling of information as products, tools and standards evolve.
