Job description
The QA & Compliance Officer will work within the QA & Compliance department, supporting a wide range of compliance activities across the Software and DevOps teams.
This is a highly collaborative role that requires excellent communication skills and the confidence to engage with colleagues at all levels of the organisation. The role holder will help ensure that agreed standards, processes and procedures are understood, followed and evidenced, carrying out regular checks and audits and working constructively with teams to address any areas requiring attention.
The role does not require a technical background; however, the successful candidate will need to develop a good understanding of how our Software and DevOps teams operate, the processes they follow and the systems they use. They will need to be comfortable asking questions, challenging where appropriate and ensuring that compliance requirements are consistently applied.
A significant part of the role will involve creating, reviewing and maintaining process and procedure documentation, ensuring that guidance remains clear, accurate and up to date.
Key Responsibilities
Compliance & Assurance
Support the QA & Compliance department with the day-to-day management of compliance activities across Software and DevOps.
Carry out detailed compliance checks and audits of work undertaken by teams, using systems including AIDP, SysAid and DevOps.
Review evidence to ensure that required processes and procedures have been followed and appropriately documented.
Identify areas where compliance requirements have not been met and work with the relevant individuals and teams to understand and resolve issues.
Follow up on agreed actions to ensure they are completed within appropriate timescales.
Help promote a strong culture of compliance and continuous improvement across the department.
Communicate compliance requirements clearly and confidently to colleagues at all levels.
Provide practical guidance and support to teams to help them understand and meet their compliance responsibilities.
Processes & Procedures
Create clear, practical and easy-to-follow procedure guides for processes across the department.
Review and maintain existing procedures, ensuring they remain accurate and reflect current working practices.
Work with process owners and subject matter experts to understand how activities are performed and translate this into effective documented procedures.
Regularly review documentation to identify where processes or guidance require updating.
Ensure documentation is appropriately controlled, maintained and available to the teams who need it.
Support teams in improving the consistency and quality of their documented processes.
ISO & ISMS Support
Support the ongoing operation and maintenance of the company's Integrated Management System (ISMS).
Work with departments and teams across the organisation to support compliance with applicable ISO standards.
Assist with the maintenance and updating of the ISO Toolbox and associated compliance records.
Support activities within Vanta, ensuring required evidence, actions and information are maintained and kept up to date.
Assist with monitoring and progressing company objectives relating to the management system.
Support the management and tracking of Corrective Actions, Opportunities for Improvement (OFIs) and non-conformities (NCs).
Work with relevant owners to ensure actions arising from compliance activities are appropriately documented, progressed and closed.
Help identify opportunities to strengthen processes, controls and ways of working.
Internal & External Audits
Support the preparation and coordination of internal and external ISO audits.
Assist with gathering, reviewing and organising evidence required for audits.
Work with teams across the department to ensure they are prepared for audit activities and understand what is required of them.
Participate in audit activities where required, providing supporting information and evidence.
Support the recording, communication and tracking of findings and actions arising from audits.
Help ensure that audit actions are progressed and completed within agreed timescales.
Skills & Experience
Essential
Excellent verbal and written communication skills.
Confident communicating and building effective working relationships with people at all levels of an organisation.
Strong written skills with the ability to create clear, concise and easy-to-follow process and procedure documentation.
Good attention to detail and the ability to identify inconsistencies, gaps or areas where agreed processes have not been followed.
Organised and methodical, with the ability to manage multiple compliance activities and follow actions through to completion.
Comfortable reviewing detailed information and evidence across a range of systems.
Able to ask appropriate questions and constructively challenge where standards or processes have not been followed.
Able to work independently while collaborating effectively with colleagues across multiple teams.
A proactive approach to maintaining and improving processes and documentation.
Comfortable learning new systems, processes and terminology.
Desirable
Previous experience within a compliance, quality assurance, governance, audit or process-focused role.
Experience creating and maintaining policies, procedures, process guides or other controlled documentation.
An understanding of ISO standards and management systems.
Experience supporting internal or external audits.
Experience working with corrective actions, non-conformities or continuous improvement activities.
Experience using compliance, ticketing, development or work-management systems such as Vanta, SysAid or DevOps.
Previous experience working alongside Software, Development, QA or DevOps teams would be advantageous, although a technical background is not required.

Success in this role means that Software and DevOps teams have clear, accurate and up-to-date procedures, compliance requirements are well understood, and regular checks provide confidence that agreed processes are being followed.
The role holder will build strong relationships across the department, becoming a trusted point of contact for compliance activities while being confident enough to challenge when required. Audit evidence and management system records will be well maintained, actions will be actively followed through, and the department will remain well prepared for both internal and external audits.
Ultimately, the role will help ensure that compliance is embedded into everyday ways of working rather than treated simply as an audit activity.
